Terms of Service

These Terms govern your access to and use of the Pivots Hiring platform, operated by Pivots Global LLC. By using the Service, you agree to be bound by these Terms.

What the Service Does

Pivots Hiring is an AI-powered talent acquisition platform. The service works differently depending on your subscription plan.

Free & Basic Plans — Candidate Database Access

  • Browse pre-screened candidates already in the Pivots Hiring database
  • View AI-generated profiles, scores, and analysis for each candidate
  • Contact candidates directly and manage your pipeline offline
  • These plans do not include job postings or access to applicants who respond to a job ad

Pro Plan — Dedicated Job Postings

  • Request a real job posting run by Pivots specifically for your company
  • Applicants who respond to your posting are exclusive to your account
  • Your job listing and all its applicants are kept strictly private
  • Includes everything in Basic plus dedicated human support
Note for applicants: If you submit an application through a Pivots-run job posting, your data will be shared exclusively with the company that requested that posting. Pre-screened candidates in the general database consented to their profiles being shared with subscribing companies.

Eligibility

You must be at least 18 years old and have the legal authority to enter into contracts on behalf of your organization to use the Service as a Client. Individual candidates must be at least 16 years old to apply.

Accounts

Client Accounts are created via Google OAuth and require a valid company name. You are responsible for all activity under your account.

No account is required for Applicants. Applicants submit their information directly via job application links.

The Service is offered under the following subscription tiers, billed monthly in USD.

Dedicated Job Postings (Pro Plan)

Pro and Team plan clients may request a dedicated job posting — a real hiring campaign run by Pivots specifically for their company and role. This is distinct from browsing the existing candidate database: Pivots actively sources or advertises for the position, and every applicant is exclusive to that client.

Dedicated postings include:

  • A job listing run by Pivots on behalf of the client
  • All applicants flow exclusively to the requesting client
  • The listing and its applicant pool are fully private — invisible to all other clients
  • Dedicated human support throughout the process

Available on:

  • Pro plan ($500/mo) — dedicated postings enabled
  • Team plan ($500/mo) — dedicated postings enabled
  • Free and Basic plans — candidate database access only, no job postings
Free and Basic plan clients can browse and contact pre-screened candidates already in the Pivots database. They cannot post jobs, request sourcing campaigns, or access candidates who applied in response to a job ad.

Payment Terms

  • All subscriptions are prepaid monthly. Access continues until the end of the billing period.
  • Payments are processed by Stripe, Inc. You authorize recurring monthly charges.
  • Prices are subject to change with 30 days' written notice to your registered email.
  • Failed payments result in plan downgrade to Free after a 7-day grace period.
  • All fees are non-refundable except as stated in Section 7.

Cancellation & Refunds

Cancellation: You may cancel at any time via account settings or by emailing [email protected]. Cancellation takes effect at the end of the current billing period.

Free Plan

No refunds (free plan carries no charges).

Basic / Pro / Team

A pro-rated refund may be issued if you cancel within 3 days of a billing renewal and have not used the platform during that period. Requests must be submitted to [email protected] within the 3-day window.

First-month guarantee

If you are unsatisfied in your first 30 days, contact us for a full refund — no questions asked.

Acceptable Use

You agree not to:

  • Post fraudulent, misleading, or discriminatory job listings
  • Collect or harvest candidate personal data outside of the hiring process
  • Share, resell, or sublicense access to the Service
  • Use automated scraping, bots, or crawlers to extract candidate information
  • Use the Service to violate any applicable employment, privacy, or anti-discrimination law
  • Upload malicious files, scripts, or content
  • Impersonate another company or individual
Violations may result in immediate account suspension without refund.

Candidate Data & Privacy

Important notice for applicants: By submitting an application through Pivots Hiring, your personal data — including your resume, contact information, work history, skills, and AI screening results — will be shared with the hiring company (our client) that posted the job. Please read this section carefully before applying.

What data we collect from applicants

  • Full name, email address, and contact details provided in your application
  • Resume and CV content, including employment history, education, and skills
  • Cover letters, portfolio links, or any other materials you voluntarily submit
  • AI-generated analysis and screening scores derived from your application
  • Interview responses if you complete an AI-assisted interview

How your data is shared

When you apply for a position on Pivots Hiring, your personal data is shared with the company that posted the job listing (the “Client”). This includes your resume, application materials, and the AI-generated assessment of your profile. The Client uses this data to evaluate your suitability for the role.
  • Your full application and personal data is made available to the hiring company
  • AI screening scores and analysis summaries are shared with the hiring company
  • Your data may be retained by the hiring company in accordance with their own privacy policy
  • Pivots Hiring presents anonymized previews of your profile to hiring companies before they request full access
  • We do not sell your personal data to third parties outside of the hiring relationship

Your rights as an applicant

  • You may request deletion of your data from our systems at any time by contacting us
  • You may withdraw your application and request removal of your profile
  • You have the right to access a copy of the personal data we hold about you
  • Residents of the EU/EEA have additional rights under GDPR, including data portability and the right to object to processing
  • California residents have additional rights under CCPA/CPRA

Client obligations

By using the Service, Clients agree to:

  • Use candidate information solely for legitimate hiring decisions related to the specific job posting
  • Not retain candidate data beyond what is necessary for the hiring process
  • Comply with all applicable data protection laws (GDPR, CCPA, etc.) in their jurisdiction
  • Delete or anonymize candidate data upon request and in accordance with applicable law
  • Not share candidate data with third parties outside of their own hiring process

Pivots Global LLC acts as a data controller for data collected through the platform, and as a data processor on behalf of Clients for candidate evaluation. See our Privacy Policy for full details on how we handle your data.

Intellectual Property

All AI models, scoring algorithms, software, branding, and content comprising the Service are owned by Pivots Global LLC. You may not copy, reverse-engineer, or create derivative works from any part of the Service.

Candidate resumes and application materials remain the property of the respective candidates. Job descriptions submitted by Clients remain property of the Client.

Disclaimer of Warranties

THE SERVICE IS PROVIDED “AS IS” WITHOUT WARRANTIES OF ANY KIND. WE DO NOT GUARANTEE THAT AI SCREENING RESULTS ARE ACCURATE, COMPLETE, OR FREE FROM BIAS. HIRING DECISIONS ARE SOLELY THE RESPONSIBILITY OF THE CLIENT.

Limitation of Liability

TO THE MAXIMUM EXTENT PERMITTED BY LAW, PIVOTS GLOBAL LLC SHALL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, OR CONSEQUENTIAL DAMAGES ARISING FROM USE OF THE SERVICE. OUR TOTAL LIABILITY SHALL NOT EXCEED THE AMOUNT YOU PAID IN THE 3 MONTHS PRECEDING THE CLAIM.

Indemnification

You agree to indemnify and hold harmless Pivots Global LLC from any claims, damages, or expenses arising from your use of the Service, violation of these Terms, or infringement of any third-party rights.

Governing Law

These Terms are governed by the laws of the State of Delaware, United States, without regard to conflict of law provisions. Disputes shall be resolved through binding arbitration under AAA Commercial Arbitration Rules, except that either party may seek injunctive relief in any court of competent jurisdiction.

Changes to Terms

We may update these Terms at any time. We will notify you by email or in-app notice at least 14 days before material changes take effect. Continued use of the Service after that date constitutes acceptance.
